How to automate data entry in Tally

Automate Tally data entry by source: import bank statements and Excel sheets with TallyPrime's own tools, use a bill reader for purchase bills, and let AI read WhatsApp or email orders with a person approving before Tally.

The short answer

There is no single switch that automates data entry in Tally. What works depends on where each entry comes from:

  1. Bank entries: import your bank statement and let TallyPrime create the vouchers.
  2. Data already in spreadsheets: import it from Excel instead of typing it again.
  3. Purchase bills as PDFs or photos: use a tool that reads the bill and prepares the entry.
  4. Customer orders on WhatsApp or email: let AI read the message, let fixed rules work out the bill, and have a person approve it before it goes into Tally.

Start by counting how many entries your team types each week from each source. The biggest pile is where automation pays back first.

1. Bank entries: let Tally do it

Recent TallyPrime releases can import a bank statement (Excel or CSV) and create vouchers from it. The vouchers come in marked as Optional, so your accountant reviews them before they count in your books. Automatic bank reconciliation, where Tally matches statement lines to existing entries, needs TallyPrime Release 6.0 or later. Tally's help pages cover the setup and the list of supported banks.

Good for: every business. It is built in, so try it before paying for anything else.

2. Data already in a spreadsheet

If entries already exist in Excel, for example a price list, a list of parties, or sales exported from another system, don't retype them. Recent TallyPrime releases can import masters and vouchers from Excel, and your Tally partner can set up an import add-on for formats Tally doesn't read on its own.

Watch out for: ledger and item names that don't match Tally exactly. Most failed imports come from "Biscuit 50g" in the sheet and "Biscuit 50 gm" in Tally.

3. Purchase bills as PDFs or photos

Several products read supplier bills, pull out the GST number, items, rates and taxes, and prepare a purchase entry for Tally.

Before you choose one: test it on your worst bills, such as handwritten ones, blurry phone photos and bills with many line items, not on the clean demo PDF. Check that someone reviews each entry before it is saved.

4. Customer orders on WhatsApp or email

This is the entry most businesses still type by hand. A customer sends "20 case of the 10 rupee pack, 10 of the new one, scheme lagana", and someone reads it, works out quantities, schemes and GST, and keys a sales order into Tally.

It can be automated without changing how customers order:

  • AI reads the message and turns it into line items matched to your products.
  • Fixed rules work out the bill: case-to-piece conversion, schemes, customer prices, GST and round-off. The AI never calculates money.
  • A person approves it in a simple screen before anything is saved.
  • The approved order is written into Tally as a sale order, and the proforma invoice goes back to the customer.

Tally accepts entries from outside through its XML interface on your office computer. A well-built setup reaches it with a small agent that only makes outgoing connections, so your Tally machine is never exposed to the internet.

I built exactly this for an FMCG distributor in Ahmedabad: how it works, in plain language, and the full case study. If you are comparing it with Tally's own WhatsApp feature or a ready-made order app, this post covers the differences.

What to keep manual

Automation should remove typing, not judgment. Keep a person in the loop wherever an entry affects money or stock: approving orders, checking optional vouchers from the bank, and reviewing new parties. The goal is that people check entries instead of creating them.

Where to start

  1. Count a normal week's entries by source: bank, purchase bills, sales orders, other.
  2. Turn on bank statement import first. It is free and built in.
  3. For the largest remaining source, ask for a demo on your own messiest real data.

Questions people ask

Can Tally entries be automated?

Yes, by source. TallyPrime can create vouchers from an imported bank statement and import data from Excel. Purchase bills can be read by a bill-reading tool, and orders that arrive on WhatsApp or email can be read by AI and written into Tally after a person approves them.

Does TallyPrime reconcile bank entries automatically?

Automatic bank reconciliation needs TallyPrime Release 6.0 or later. Vouchers created from an imported statement come in as Optional so they can be reviewed first.

Is it safe to let AI enter data into Tally?

It is when the AI only reads the message, fixed rules calculate every amount, and a person approves each entry before it is saved. The AI should never decide prices, schemes or GST.

Do customers have to change how they send orders?

No. Orders can keep arriving on WhatsApp or email in the customer's own words. The automation works after the message arrives.
